Vendor & Landlord Document Request
The Vendor & Landlord Document Request allows real estate agents to securely request supporting property documents from vendors and landlords directly through the FLK it over platform. Clients receive a secure link via email or SMS and can upload documents — including water rates, council rates, strata levies, power of attorney and insurance policies — from any device, at any time.
Unlike traditional document collection methods that rely on fragmented email threads and personal SMS exchanges, FLK it over’s Document Request creates a centralised, auditable system for the entire office. Every request is visible to the whole team, removing the risk of documents being buried in individual inboxes or lost across multiple communication channels.
All uploaded documents are protected by two-factor authentication, with every document viewing logged for full auditability. The feature is available on both new and existing agreements — meaning offices can use it throughout the entire lifecycle of a property under management, not just at the point of listing.
Beyond collecting documents, FLK it over gives agents complete control over how that data is handled once received. After reviewing an uploaded document, the agent can choose to retain the document and add notes, delete the document entirely, or — where privacy obligations require it — remove the image while retaining both the request record and any notes made against it. Every action is logged, giving the office a full and transparent audit trail regardless of which option is chosen.

In a first-of-its-kind integration exclusive to FLK it over and Property Tree, real estate offices can now automatically push data from a signed Managing Agency Agreement directly into Property Tree — with no manual re-entry required.
Once a Managing Agency Agreement reaches awaiting completion status in FLK it over, the integration activates automatically. FLK it over then pushes the owner contact, ownership details and property record directly into Property Tree. The signed agreement is also stored against the owner file.
The integration directly addresses one of the most common operational pain points for property management offices — the duplication of data entry across multiple platforms following the signing of a new management.
